Terms & Conditions, How to Submit Event
Purpose
The purpose of this policy is to ensure that the DS ACT event calendar is useful, accurate, and welcoming. This policy outlines the process and criteria for submitting events to be posted. Our goal is to provide a platform where DS ACT members and collaborative nonprofit organizations can share events of interest to the Connecticut Down syndrome community.
Who Can Use the DS ACT Calendar
This calendar is provided as a benefit to our DS ACT members and as a courtesy to other Connecticut-based nonprofit organizations.
How Submit a Calendar Post
Complete the form on our website. We recommend posts be submitted at least one week in advance.
Guidelines and Requirements
Anonymous or incomplete submissions will not be considered.
DS ACT will not accept submissions that promote, foster, or perpetuate discrimination on the basis of race, creed, color, age, religion, gender, marital status, status with regard to public assistance, national origin, physical or mental disability, or sexual orientation.
We do not accept submissions that conduct or encourage illegal activity, contain content of a sexual or pornographic nature or links to such content.
We do not accept submissions that do not align with our mission.
We will not accept commercial, private or religious advertising. If you wish to advertise for-profit services to the Down syndrome community in Connecticut, please contact the Karen Sawyer, ksawyer@mydsact.org, regarding our service directory.
DS ACT is not liable for any misinformation, confusion, or errors in a calendar post. If the event is cancelled, postponed, or if there is a significant change, correction, or error the event organizer is responsible for contacting the calendar moderator regarding updates.
A photo or graphic may be included if it meets standards (e.g. doesn’t contain watermarks, clear resolution, community-appropriate imagery).
If the submission is a series of events (such as a series of workshops), we are happy to post the schedule but may not be able to accommodate individual postings for each meeting.
Submissions are reviewed by the calendar moderator (or a designated DS ACT staff/volunteer) for compliance with this policy. The moderator may contact submitters for clarification or additional details. DS ACT reserves the right to reject or remove a calendar post at any time for any reason.
Event organizers acknowledge the terms of the policy by agreeing to the terms of submission on the DS ACT website.
Any questions regarding this policy should be submitted to the DS ACT executive director.
How to Submit an Event to the Community Calendar:
If your event is a fundraiser for either a Step Up walk team or for DS ACT, please review the information on our website under Hold a Fundraiser for additional details about what is required.
If you have not scheduled your event and are looking for help to set up an event, please contact Karen Sawyer at ksawyer@mydsact.org.
The form includes a field to set up a virtual event and an area for event cost. Even though these fields are present you will not be able to set up the virtual event through this form. If you need to collect ticket sales or preregistration, please contact Karen Sawyer at ksawyer@mydsact.org.
Please fill out all the fields on the form, with as much detail as possible.
The following fields are required:
- Event Title - this should be the name of the event, i.e. Moms meet up for coffee, Walk Team Fundraiser, etc.
- Event Description - provide as much detail as possible. Include information about cost if there is one, if preregistration is required, target audience, etc.
- Event Time & Date - enter the date of the event and the start and end time. If the event is a recurring event please provide that information as well.
- Venue Details - If this is an event that we have promoted for you in the past, the venue may already exist. If it is a new venue, enter the venue’s complete name and click create venue.
This will bring up additional fields like venue address, website, etc. Please enter as much information as you can. - Organizer - this should be the person or group hosting the event, not the contact person of the venue or DS ACT. We need to know who we can contact if we have questions. Please at least provide an email address. This information will be shown on the calendar so do not put your phone number unless that is how you want people to contact you.
Optional Fields:
- Event Image - Pictures from past events, images of the venue, or a flyer for the event, can be uploaded here.
- Event Categories - Select from categories listed
- Event Tags - Select for tags listed
- Configure Virtual Event - We don’t have this functionality. If your event is virtual, please include the link in the description or indicate that link will be sent out to registered attendees or reach out to ksawyer@mydsact.org to inquire how a virtual event can be set up.
- Event Status - Defaults to “Scheduled”. If your event is not yet scheduled, please note that in the description and someone from DS ACT will contact you.
